To secure a booking please notify Ku Tunza Travel via email as soon as possible - please see our Contacts Page for details. We will require a trip deposit per person (you will be told how much at time of booking) and final payment within 48 days of your trip’s departure date.
Your trip deposit & final trip payment can be made via a bank transfer or electronically through Paypal. Some people may choose to bring the remainder of their trip balance with them in cash or Travellers Cheques though PLEASE NOTE: Travellers Cheques attact a 10% surcharge for bank fees and a lower exchange rate.
On most of the trips Ku Tunza’s own expedition vehicles are used. Where Ku Tunza’s own vehicles are not used, the client agrees that cars, trucks, trains, ferries, river craft, buses or coaches (or any other transport deemed necessary) are used as appropriate. The obligation of Ku Tunza to the client is to select competent contractors to provide such transport and any other services related to the trip and to exercise reasonable care in selecting such suppliers to provide these services.
To secure a booking we require a non-refundable deposit (you will be informed of amount at time of booking).
Full trip payment is to be paid eight weeks prior to your Ku Tunza trip’s departure date – payable via bank transfer or in some circumstances special prior arrangement may be made to bring cash or traveller's cheques on arrival. If the full payment is not received eight weeks prior to departure Ku Tunza may deem the booking cancelled and the deposit forfeited. Bank transfer charges are to be borne by the client.
If your trip incorporates the gorillas, full payment for a gorilla permit is needed at the time of booking to enable us to secure a permit on your behalf. The cost of the permit is not refundable.
Cancellation of a booking must be notified in writing and when received by Ku Tunza the deposit is forfeited. The client acknowledges that payment for the trip is an intrinsic part of the trip’s income and contributes towards the overall costs of equipment, vehicle running costs, staff administration etc and Ku Tunza will have incurred the largest part of its costs before the actual departure date. A cancellation received less than eight weeks before departure will incur the following charges (these are calculated from the day written notification is received by Ku Tunza or their agent as a percentage of the total trip price).
a) 56 and more days before departure – retention of deposit
b) 55 – 42 days before departure – 40% retained
c) 41 - 28 days before departure - 80% retained
d) Less than 28 days before departure – 100% retained
A booking is made in the name of the client and is not transferable to another person. If the client wishes to transfer a booking to another trip or departure date this can be done at a cost of US$50. Notification must be received in writing no less than eight weeks before original trip departure date. Transfer requests received less than eight weeks before departure will be treated as a cancellation and subject to the above charges.
The trip cost (and any local payment) cover transport, accommodation, meals, game parks and excursions as specified on the website and the repair and replacement of Ku Tunza camping equipment where applicable. Ku Tunza guarantees not to increase the trip price once the deposit has been received.
The client undertakes to comply with the laws and regulations, whether in respect of health, immigration, exchange control or any other matter of all the countries visited during the expedition.
The client undertakes to obtain a valid passport and visas for his or her trip.
Ku Tunza reserves the right to deviate from the advertised expedition route if in their reasonable opinion such deviation is necessary for the safety or well being of any or anyone of the members of the expedition or for the satisfactory progress of the expedition. In the event of it becoming necessary to fly in order to satisfactorily and safely continue the expedition, all costs of the client’s flights will be borne by the client.
Ku Tunza accepts no responsibility for matters in the unlikely event of political disputes, border closures, epidemics, natural disasters, climate, armed robbery, terrorism etc. Should it become necessary to abandon an expedition because of such an event Ku Tunza will be entitled to retain a reasonable sum to cover all costs incurred. Any excess will be refunded.
The client accepts that owing to the nature of countries visited, all expeditions involve an element of personal risk and are of a potentially hazardous and unpredictable nature. In many African countries visited the basic infrastructure, such as roads, is very poor and therefore less safe than that familiar to Westerners. In particular, lack of road markings or warning signs, unmarked speed bumps, seasonal flooding of roads and bridges etc are factors beyond the control of Ku Tunza.
The client acknowledges that in many African countries we visit, the local vehicle insurance includes either very limited passenger accident liability or none at all. In some African countries through which we travel, the expedition vehicle does not have the benefit of passenger insurance. The client agrees to indemnify Ku Tunza against any claim or demand made in respect of any accident, personal injury or loss of life caused to, contracted or suffered by the client during the course of the expedition.
If the tour leader considers the actions or conduct of any client is likely to prejudice the safety or well being of all or any members of the trip or satisfactory progress of the trip then he/she shall be entitled to order the client to leave the trip immediately with no refund of the trip price and all liability and responsibility that the company may bear to the client will immediately cease, including any requirement for alternative transport.
Ku Tunza reserves the right to make alterations to an expedition without notice including alterations to the itinerary.
In the unlikely event of Ku Tunza cancelling an expedition before departure, all monies paid will be refunded in full. This will be the full extent of Ku Tunza’s liability.
In the event of any person leaving the expedition of their own accord or in the extenuating circumstances being asked to leave by the tour leader, that person will be liable for their own subsistence, travel and expenses and have no claim against Ku Tunza whatsoever.
The decision of the tour leader will be final on all matters relating to the satisfactory progress, organisation and well being of the expedition. Clients must comply with all reasonable requests of the tour leader. If in the opinion of Ku Tunza tour leaders or directors, the health or conduct of a client at any time before or after departure appears likely to endanger the safe, comfortable or happy progress of a trip, the client may be excluded from all or part of the trip without refund or recompense. In the case of ill-health, Ku Tunza may make such arrangements as it sees fit and recover the costs thereof from the client. It is the client’s responsibility to arrange suitable adventure travel insurance with benefits that include cover for any hazardous activities they intend to pursue, as well as personal accident, medical expenses, repatriation and loss and damage to personal effects. The policy must included minimum cover of £500,000 for emergency medical and repatriation expenses. A copy of the client’s travel insurance must be shown to the tour leader at the start of the trip.
